Using Netcoder's CRM

The Netcoder CRM is simple, yet very powerful, and made for small and mid-size companies. It keeps the people you deal with, their companies, and the opportunities you are working on, in the same app as your AI agents. It is included in every plan, with nothing to install.

1. Where to find it

Sign in to the Netcoder app. The CRM is in the menu:

MenuWhat you find there
PeopleYour contacts: customers, prospects, suppliers, applicants, your own team.
CompaniesThe organizations your contacts work for.
OpportunitiesThe deals you are working on, as a board or a list. Shown when you have a Customer Service AI agent.
TasksEverything to do, for you and your team.
SettingsFor administrators: Group, Pipeline stages and Opportunity types.

2. People

The People page lists your contacts. Search them, or filter them by Type and Groups. Click + to add someone:

FieldWhat it is
Email and NameRequired. The email is how a person is recognized: there is only one contact per email.
TitleTheir job, such as Operations manager.
CompanyType a few letters to pick one of your companies.
Phone and addressOptional.
GroupsClient, Prospect, Supplier… see section 4.
Unsubscribed from emails / SMSOn when the person asked not to receive your messages.

Click a name to open the person's page: their details, then their Documents, their Emails, their Conversations with your AI agents, with the full transcript, and their Opportunities. Their tasks and your notes are on the side.

3. Companies

The Companies page lists your companies with their number of people and, with opportunities, their open deals and what they are worth. Click + to add one: Name (required), Website, Phone, address and Description.

A company's page gathers its address on a map, its People, its Opportunities, its Documents, its tasks and your Internal Notes. The + of its Opportunities section creates a deal already linked to the company.

4. Groups

Groups sort your contacts: Client, Prospect, Supplier, Employee, Member, Management, and Applicant for those who apply to your jobs. A contact can be in several groups.

  • Add your own — in Settings, Group: a name and a color, such as VIP or Montreal.
  • Filter by them — on the People and Tasks pages.
  • Your agents use them — groups decide which people each of your AI agents serves.

5. Your pipeline

The pipeline is the path of a deal, from first contact to signature. You start with four stages, each with its chance of closing:

StageProbability
Lead10 %
Qualified25 %
Proposal50 %
Negotiation75 %

Make them yours in Settings, Pipeline stages:

  • + adds a stage, with its Name, its Probability (%) and its Color. The probability weighs the amount of the deals at this stage: 50 % of a $10,000 deal counts for $5,000.
  • The arrows Move up and Move down set their order.
  • A stage that still holds open deals cannot be deleted: move them first.

Won and Lost are not stages: they are how a deal ends.

In Settings, Opportunity types you can also name the kinds of deals you make, such as New customer, Renewal or Consulting. Types are optional; once you have one, the opportunities can be filtered by type.

6. Opportunities

An opportunity is a deal you hope to make. Click + on the Opportunities page:

FieldWhat it is
Type or NameOne or the other: a deal with no name is called by its type.
CompanyWho the deal is with.
AmountWhat it is worth, in dollars.
Expected close dateWhen you expect an answer. Past dates show in red.
StageWhere it stands. Required.
OwnerWho on your team follows it; you, at first.
DescriptionWhat the deal is about.

The board

Each stage is a column, followed by Won, with its number of deals, their total and their weighted total. The top of the page sums up your whole pipeline.

  • Drag a card to another stage to move the deal.
  • Drop it on Won when you get the deal.
  • Drop it on Lost when you don't: you can note why, which helps you learn from it. Lost deals show when you pick Lost in the Stages filter.
  • Drag it back from Won or Lost to a stage to reopen it.

Show as a list turns the board into a table, with the same filters: Stages, Types, Owner and Closing by, handy for everything that should close this month.

The page of an opportunity

  • Its path — the stages across the top, the current one starred. Click a stage to move the deal there.
  • Amount, Weighted, Expected close and Owner at a glance.
  • Stakeholders — the people involved at the customer, each with their role: Decision maker, Champion, Influencer, Technical, User, Partner or Other. An opportunity created from a person's page lists them as decision maker.
  • Documents — the proposal, the quote, the contract.
  • History — every change of status, stage, amount or expected close date, with its before and after.

7. Notes and tasks

People, companies and opportunities each have Internal Notes and Tasks on the side of their page.

  • A note — what was said, decided or learned. Notes stay within your team unless you turn on Visible to the client.
  • A task — something to do: a Follow-up or a Ticket, Assigned To someone, with a Due Date and an Urgency. Mark completed once it's done.

The Tasks menu gathers them all. Filter by who, status, urgency or what they are attached to, to see your day.

8. What your AI agents add

  • Their conversations — on the page of each person they know, with the full transcript, whatever the channel: website chat, voice, phone, SMS or email.
  • The meetings they book — when someone books a meeting, through your agent or your booking widget, they become a contact with their company, and the meeting is noted on their page. See the calendar booking guide.

Your agents never overwrite what your team entered. Opportunities stay in your hands: your agents do not create or move them.

9. Importing and exporting

  • Your current contacts — send us your Excel file and we import it when you start: names, emails, phones, titles, addresses and companies. A person already known by email or phone is completed, not created twice.
  • Download — on the People page, downloads the list, as you filtered it, as an Excel file.

10. Tips and troubleshooting

  • No Opportunities menu — opportunities come with a Customer Service AI agent: add one on the AI Agents page.
  • No Settings menu — groups, stages and types are for administrators.
  • A stage that won't delete — it still holds open deals: move them to another stage first.
  • A type that won't delete — some opportunities still have it: change their type first.
  • Keep it current — a pipeline is only as good as its dates: once a week, filter on Closing by today, and move or close what is late.
