Your AI agent answers email at its own address, with nothing to set up. An address of your own can forward to it, and its replies can be sent from your own domain.
1. The address of your agent
Every AI agent has its own email address, with nothing to set up: its agent key at netcoder.ca, for
example [email protected]. Any email sent there is
answered by your agent.
- Turn it on — in the Netcoder app, on the page of your AI agent, the pencil of Channels, then Email.
- Find it — in the Email section of the page of your agent, or the code icon of Test Email under Test & Deploy, with a button to copy it.
- Use it — give it out, or link to it from your web site:
<a href="mailto:…@netcoder.ca">.
| Address | What it is | What it takes |
|---|---|---|
| Reply-To | Where the answers of your customers go when they click
Reply, such as [email protected]. Your agent receives them when this mailbox
forwards to it. | A forward in your email service; any mailbox, Gmail included. See section 2. |
| From | The address your customers see the replies of your agent come from. Empty, it is the address of your agent. | A domain of your own, verified with 3 DNS records. See section 3. |
Both can be the same address, [email protected]: your customers then see your company
on both sides of the conversation.
2. Receiving at an address of your own (optional)
Your customers may already write to an address of your company, such as
[email protected]. Have your agent answer it in two steps:
| Step | What to do |
|---|---|
| 1. Enter it | On the page of your agent, click the pencil of
the Email section and enter
[email protected] as Reply-To. |
| 2. Forward | In your email service (Google Workspace, Microsoft 365, Gmail, your web
host), forward [email protected] to the address of your agent, shown in its
Email section under Receiving with a button to copy
it. |
That is all it takes: your agent answers the emails of either address, in the same conversation. Its
replies are sent from its own address with [email protected] as Reply-To: when your
customer clicks Reply, the answer goes there. Any mailbox works, a public one such as Gmail included.
3. Sending from your own domain (advanced)
For the replies to be sent from [email protected] itself, the mail servers that receive
them must see that your domain allows Netcoder to send for it; otherwise they would put the replies in
spam, or refuse them. This is optional, done once for your company, and takes access to the DNS of
your domain: ask the person who manages your web site if needed.
| Step | What to do |
|---|---|
| 1. Add your domain | In the Netcoder app, Settings, then
Email domain: click + and enter
yourcompany.com. The page then shows three DNS records. |
| 2. Add the records | Three records of type CNAME, each a name and a
value with a button to copy them, added where your domain is managed: your registrar
(GoDaddy, Namecheap…), Cloudflare, or your web host. Some DNS services add your domain to the
name themselves: then enter the name without it. |
| 3. Verification | Automatic, every hour; a DNS change takes from a few minutes to a day. Check again asks right away. The page shows Verified once it is done. |
| 4. Set the From | On the page of each agent, the pencil of the
Email section: enter an address at your domain as
From, such as [email protected]. The dialog says whether your
domain is set up and verified. |
Once your domain is verified, every agent with a From at it sends its replies from that address. Until then, nothing changes: replies are sent from the address of the agent, and the answers of your customers go to its Reply-To.
These records only add a signature (DKIM): your web site and the emails you send and receive yourself
are not affected, and your MX records stay as they are. If your domain has a DMARC policy
(a _dmarc record), the signature satisfies it. A public mailbox, such as Gmail or
Outlook.com, cannot send this way, as its DNS is not yours.
4. How it works
- Your agent answers by email, usually within minutes, in the language it was written to.
- The emails of one sender continue the same conversation.
- Documents attached to an email are read, and each counts as one conversation more.
- Spam is set aside without an answer.
- An agent whose job is to sell adds whoever writes to your contacts.
5. Testing and troubleshooting
- Test it — Test Email, under Test & Deploy in the app, opens your email program with the address of your agent: send it a question and wait for the answer.
- No answer — check your spam folder, then that Email is on under Channels.
- A forward that is not answered — check that your email service forwards to the address of the agent exactly, and that your address is the Reply-To of your agent, in its Email section.
- Records not found — check each record as Settings, Email domain shows it, then click Check again.
