Calendar booking by your AI agent

A customer who wants to meet you should not have to wait for someone to call back. Your AI agent offers your free times and books the meeting during the conversation, and the visitors of your website book on their own from the booking widget. The meeting goes straight into your calendar.

Calendar booking comes with every plan. It is built in: it works as soon as you sign up, with no booking software to buy or connect.

How it works

  1. The customer asks for a meeting — In the web chat, by voice on your website, on the phone or by message, your agent understands that the customer wants to meet you.
  2. The agent offers your free times — It looks up the hours of the people who can take that kind of meeting, the meetings they already have and the busy times of their own calendar, then offers times that really are free.
  3. The agent books — Once the customer picks a time and gives their name and email, the meeting is in your calendar, and the customer receives a confirmation with an invite for their own calendar.
  4. The customer is reminded — By email the day before, and by SMS if you choose. A link lets them cancel or move the meeting without calling you.

Your meeting types

  • What can be booked — A 30-minute call, a one-hour visit, a demo: each meeting type has its duration, its description, and a name in English and in French.
  • Where it happens — At your address, at the customer's address, by phone, by video or anywhere you describe. For a video meeting, a Google Meet or Microsoft Teams link is made for each booking, or your own meeting link is given.
  • Your rules — The time kept free before and after a meeting, how soon it can be booked (4 hours ahead to start with), how far ahead (60 days), and how far apart the start times are.
  • Who can take it — The people of your team each meeting type is offered with.

Your team's availability

  • Hours per person — Each person sets their week, with several ranges a day if needed, in their own time zone, and changes a single day: a day off, a late evening.
  • Their own calendar — With Google Calendar or Microsoft 365 connected, their busy times are never offered, and each meeting booked is written into it.

Grouped calendars

A grouped calendar puts several people behind one name, such as Sales or Service. The customer books the group and gets the person free at the time chosen, in turn: the one booked the longest ago comes first, and two customers booking the same time get two different people. A grouped calendar has its language, so your agent books the French group in a French conversation and the English group in an English one.

On your website too

The booking widget lets the visitors of your website book a meeting by themselves, with the same meeting types, hours and rules as your agent. It installs with a few lines of HTML. See the installation guide.

In your app

Your team sees every booking in the Calendar of the app, and can book or move a meeting for a customer itself. A booking made by someone already in your CRM is tied to them.
